Quick Summary
- Zoho Mail IMAP stops working for the dumbest reasons - wrong port, 2FA blocking app passwords, or DNS that looks fine but isn't.
- I've fixed this across Outlook 2016, iPhones, Android, and Mac Mail, and the root cause is almost always one of four things.
- Here's the exact step-by-step with real menu paths so you're not clicking around for two hours like I was the first time.

It was a Monday morning. One of our sales guys walks up and says his Outlook stopped pulling emails from Zoho. Just stopped. Overnight. Nothing changed - or so he said. Checked his machine, checked the account settings, everything looked right on the surface. Port 993, SSL enabled, correct email address. And yet. Nothing.
Here's the thing - Zoho Mail IMAP issues have this annoying pattern where the settings look correct but something underneath is broken. Could be an app password that got invalidated when someone toggled 2FA. Could be IMAP access that got disabled at the org level. Could be a DNS propagation issue nobody noticed. I've seen this maybe thirty times across different setups, and it almost never is what it looks like at first glance.
So I'm writing this down properly, because I've watched people spend half a day on this when the fix takes fifteen minutes once you know where to look.

What's Actually Happening When IMAP Breaks
Zoho Mail IMAP failures usually fall into one of four buckets. One, IMAP access is disabled either for the user or the entire organization. Two, the user has 2-factor authentication enabled but is using their regular password in the mail client - which Zoho will reject silently. Three, wrong server settings, usually the port or SSL toggle. Four, a DNS or SPF issue that's causing the mail server to behave unexpectedly.
The frustrating part is that Outlook and iPhone don't give you specific error messages. You just get "Cannot connect to server" or "Password incorrect" even when the password is definitely correct. Zoho doesn't make this easier with its error messaging, honestly. You kind of have to work through the checklist manually.
Step 1 - Check if IMAP is Enabled in Zoho Mail Settings
This is the one everyone skips because they assume it's on. It might not be. Especially in org accounts where an admin may have changed something.
Log into Zoho Mail at mail.zoho.in (India accounts) or mail.zoho.com. Go to:
Settings (gear icon) > Mail Accounts > Your email account > IMAP Access
You'll see a toggle for IMAP Access. Make sure it's enabled. If you're the admin and this is a team member's account, you need to check their account from the Admin Console:
Zoho Mail Admin Console > Email Configuration > IMAP/POP
There's an org-level setting here that overrides individual settings. If IMAP is disabled at the org level, nothing the user does will fix it. I've seen this happen after someone was exploring the admin panel and toggled something accidentally. It happens.
Step 2 - Generate or Reset Your App Password
If 2FA is enabled on the Zoho account - and it should be - you cannot use the regular account password in your mail client. Full stop. Zoho will reject it and give you a password error, which is misleading because the password itself is correct.
To generate an app password, the user needs to:
- Go to accounts.zoho.in > Security > App Passwords
- Click Generate New Password
- Give it a name like "Outlook Desktop" or "iPhone Mail"
- Copy the generated password immediately - you won't see it again
Use this app password in your mail client instead of the regular login password. If you already had one set up and IMAP suddenly stopped working, try deleting the old app password and generating a fresh one. I've seen old app passwords get invalidated after security events on the account.
Step 3 - Verify the Correct IMAP Server Settings
Use these exact settings. Don't guess, don't use whatever autofill suggests.
For Indian Zoho accounts (Zoho.in):
Incoming Mail (IMAP):
Server: imappro.zoho.in
Port: 993
Security: SSL/TLS
Outgoing Mail (SMTP):
Server: smtppro.zoho.in
Port: 465
Security: SSL/TLS
Authentication: Required
For global Zoho accounts (Zoho.com):
Incoming Mail (IMAP):
Server: imap.zoho.com
Port: 993
Security: SSL/TLS
Outgoing Mail (SMTP):
Server: smtp.zoho.com
Port: 465
Security: SSL/TLS
The India vs global server thing trips people up constantly. If you bought Zoho through a reseller in India or signed up on zoho.in, you're almost certainly on the Indian data center. Using imap.zoho.com instead of imappro.zoho.in will just time out.
Step 4 - Fix IMAP on Specific Clients
Outlook 2016 / Outlook 365: Go to File > Account Settings > Account Settings > select account > Change. Update server settings there. If Outlook is being stubborn and not saving changes, remove the account completely and re-add it from scratch. Annoying, but it works.
iPhone / iPad: Go to Settings > Mail > Accounts > select your Zoho account > Account. Tap the IMAP section and verify the incoming server hostname. The iPhone often caches old settings and doesn't actually apply changes until you delete and re-add the account. I know. It's painful.
Android (Gmail app or default mail): In the Gmail app, go to Settings > tap your Zoho account > Incoming settings. Update server and port. For the default Samsung or stock Android mail app, the path is usually Settings > Accounts > Email > your Zoho account > Incoming server.
Mac Mail: Go to Mail > Preferences > Accounts > select account > Server Settings. Make sure "Automatically manage connection settings" is unchecked, otherwise Mac Mail keeps overriding your port settings.
Common Mistakes That Waste Your Time
Using the wrong data center server. I've already said this but it's worth repeating because it's mistake number one.
Trying to fix IMAP without checking if IMAP is actually enabled first. Start there. Always.
Using the regular account password when 2FA is on. The error message says "wrong password" which makes you think you're mistyping it. You're not. You need the app password.
Port 143 with STARTTLS instead of 993 with SSL. Some old guides suggest 143. Don't. Use 993.
Not restarting the mail client after making changes. Sounds dumb, but Outlook especially holds old connection settings in memory. Close it fully, reopen, and test.
Closing Thoughts
Honestly, ninety percent of Zoho IMAP issues I've dealt with come down to three things: wrong server for the data center, missing app password when 2FA is on, or IMAP being toggled off somewhere. Work through the steps in order and you'll find it.
And if you've done all of this and it's still broken, check the Zoho Mail status page at status.zoho.com or status.zoho.in. Sometimes there's an actual outage and you're debugging something that isn't your fault at all. Wouldn't be the first time I spent an hour troubleshooting before realizing their servers were just having a bad day.
